Based within the London Information Services Team the role is responsible for the subscriptions to which Clifford Chance has access. Its function is to ensure that best practice is followed in relation to procuring databases and to provide operational support on content and systems, managing and developing relationships with key external vendors and internal stakeholders.

The role has responsibility for:

  • Subscription database procurement, renewals and operational support
  • Evaluating and sourcing new information products and services
  • Vendor relationship management

Key Responsibilities

Subscription database procurement including:

  • Understanding of the product and its position within Clifford Chance
  • Managing the renewals process effectively to ensure that all renewals are processed on time, to budget and in the most efficient way
  • Developing the business case for purchase or renewal through an understanding of the commercial circumstances of each renewal
  • Market analysis and research of alternatives
  • Contract reviews
  • Providing support for major vendors

Systems Management including;

  • Providing support for the Usage Monitoring and Library Management systems, including regular liaison with the vendors, product managers and IT
  • Accurate recording of subscription information content operational support including:
  • Facilitating access to, providing advice and information on the content of subscription databases
  • Maximising the use of subscription databases with users including :
    o Promoting the product
    o Facilitating search construction
    o Resolving access problems
    o Advising on where to find types of content/specific content/sources advice
    o Advising on restrictions on distribution of content including scope of use and copyright issues relating to contracts
    Sourcing content including:
  • Actively building content and technology market awareness
  • Piloting new products and services
  • Ensuring that new product trials are organised and scheduled to fit with budgeting milestones

Vendor relationship management including:

  • Participating in user groups
  • Tracking of new developments and functionality
  • Liaising with vendors on product issues

Actively contributing to continuous improvement including:

  • Development of procedures
  • Participating in projects
  • Working within the wider Knowledge Management Team to provide product and project support.

Skills and Qualifications

Bachelors degree or equivalent – degree in Knowledge/Information or related discipline would be advantageous.

  • Some experience of negotiating contracts for the supply of online services both with regard to pricing and other terms of supply is preferable
  • Good commercial awareness
  • An eye for detail, with the ability to gather and analyse information and to use the results of that analysis to make effective decisions and find innovative solutions to problems
  • The ability to quickly build rapport and establish credibility with people at all levels
  • An organised and efficient approach to managing tasks
  • An understanding of the role of Knowledge and Information Management in a Corporate Environment is desirable
  • The ability to work effectively with partners, fee-earners and senior business services professionals
  • Commitment to drive improvements to cost effectiveness, quality of delivery and personal performance
  • Some knowledge of the legal and business information databases market
  • The ability to demonstrate proactive thinking and a positive attitude towards continuous improvement
  • Understanding the technical challenges for service provision
  • Experience of Library Management or Enquiries Monitoring systems would be an advantage
