The Role

The successful applicant will be supporting the Knowledge Management team in London and must possess a strong client service focus enabling you to interact well with both external and internal clients at all levels. This role will support the Global Chief Knowledge Officer, the London Head of Knowledge Management and provide general administrative support to other members of the Knowledge Management team.

The successful applicant will ensure a high level of client service and provision of quality PA support services whilst demonstrating the ability to manage both self and others in order to contribute to overall world class 24 hour administration service.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality, is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. We are looking for an experienced career-minded PA, who has either legal sector or other professional services background.

Responsibilities

Duties will include:

  • Inbox management
  • Diary management
  • Event organization/management
  • Project administration
  • Some international travel will be required
  • Collation of management reports
  • Coordination of travel arrangements
  • Call handling
  • Keeping internal Intranet and Know How databases updated
  • Coordination of power point presentations for use at events/conferences
  • In conjunction with DPU, the production of short documents/letters as required/directed
  • Ad hoc printing
  • Ad hoc team administration
  • Client event co-ordination including liaising with external clients
  • Basic marketing material creation using in house marketing database
  • Assist with preparation of training materials, including PowerPoint presentations
  • Tracking expenditure
  • Invoicing
  • Expense claims
  • Assisting with the annual budgeting process
  • To work in accordance with Standard Operating Procedures

Jobholder Requirements

  • Career-minded candidates who have legal sector or other professional services experience / background, i.e. from the Big Four or banking sector.
  • ‘Can-do’ attitude, demonstrates proactivity and takes the initiative
  • Consistently demonstrates secretarial competencies to the highest level in all areas
  • Strong technical skills, including proficient in all software packages (Word, Excel, PowerPoint)
  • Excellent communications skills, both written and verbal
  • High level organisational skills
  • Understanding of the importance of Client Service
  • People Management experience
  • Working knowledge of house style, document management systems, templates and precedents
