Information Assistant – Reed Smith

The Information Assistant will be part of a well regarded team responsible for providing both on site and remote information solutions to lawyers and staff on a time sensitive basis. This role will provide administrative support to the EMEA Library team with both research and systems services. The successful candidate will need a positive attitude, be keen and enthusiastic and ready to get involved in a variety of work.
In time, there will also be the opportunity to get involved in other opportunities including more legal and business research; supervision of those carrying out work experience and involvement in library skills training.
Responsibilities will include but not be limited to:
• Carrying out the daily ship tracks
• Managing the shipping news updates on the current awareness platform
• Case, journal article and company search requests using print and online sources (LexisLibrary, Westlaw UK, internet, i-law and other commercial providers)
• Compilation of the Daily Update
• Handling of incoming post and correspondence using the Library Management System (LMS)
• Maintenance of distribution lists
• Book processing
• Administration of joiners and leavers procedures
• Recharging database costs and processing invoices
• Shelving and filing
• Assisting librarians as directed and with special projects
• Assisting with ad hoc administrative tasks under instruction, as required
Key Skills and Experience:
• Previous library experience is desirable but not essential and training will be provided
• Working knowledge of corporate/law firm environment is preferred
• Service oriented individual with enthusiasm for the challenges of providing services in a large, multi-office law firm setting
• Strong administrative and computer skills with a high level of attention to detail
• Ability to work effectively with colleagues in a collaborative work environment using shared tools
• Ability to handle and prioritise multiple tasks in a fast paced environment and adapt to changing work situations
• Good oral and written communication skills
• Must be able to operate computers, telephones and other office machines
