Job Description

The Syracuse University Law Library invites applications for an Office Coordinator III to perform administrative and clerical work for the Law Library, providing direct patron service and back-office, time-sensitive, repetitive tasks with fixed deadlines.

The Law Library Office Coordinator will order supplies, receive materials, and process invoices for payment; manage correspondence, schedule meetings, make travel plans, and refer research requests to the appropriate library specialist or liaison librarian. The Law Library Office Coordinator will collect library statistics and generate reports, process weekly student payroll and monitor spending in specific budget categories.

The Law Library Office Coordinator will take student requests, provide assistance to students with disabilities, organize student events, take part in evening and weekend staff rotation, and perform other duties as assigned.

Qualifications

  • Associate’s degree plus office experience in an academic environment.
  • Bachelor’s degree and library or law firm experience preferred.

  • Ability to represent the Law Library effectively in person, on the phone, and in writing.

Responsibilities

  • Provide direct Law Library patron service by staffing the Circulation Desk to ensure no gaps in coverage, including evenings and weekends on rotation. Answer student and faculty questions and help them find items they need from the Circ Desk, Reference/Reserves, and the general collection. Maintain office equipment used by students.
  • In consultation with the Assistant Director for Student Learning, plan and execute J.D. and LL.M. student events and library displays that enhance law student engagement with the library.
  • Process, verify, and approve weekly payroll for 25-30 library student assistants. Monitor submission of exception time reporting for professional staff and maintain internal payroll reports. Answer inquiries from the COL Budget Office, coordinate monitoring of FWS student hours and grant spend-downs with Public Services.
  • Collect, verify and reconcile deposits of money from library fines and library book sale proceeds. In consultation with the Technical Services Librarian, reconcile Law Library credit card statements monthly.
  • Process library materials invoices totaling $1,238,440 per year for payment through the Voyager Library Management System. Ensure exact matches between materials received and invoices presented for payment, resolve discrepancies and monitor timely use of credit memos and product discounts.
  • Receive incoming library materials in the Voyager Library Management System. Process and shelve new library materials and pull and discard superseded items according to the Law Library Collection Development Plan.
  • Monitor supplies budget and replenish inventory of general and specialty library supplies for Public Services and Technical Services. Research and recommend equipment replacements and upgrades.
  • Create and maintain spreadsheets tallying library service statistics. Generate reports for use in service and budget planning as well as ARL and other required reports.
  • Provide general clerical support for six law librarians, and provide confidential administrative support for the Director of the Law Library. Manage correspondence, schedule meetings, make travel plans, and refer research requests to the appropriate library specialist or liaison librarian.
