Reporting to the General Counsel, South Asia Pacific, the successful candidate will be involved in providing the full spectrum of administrative and secretarial functions as well as being asked to perform paralegal work.

General secretarial tasks
Prepare reports whenever necessary
Coordinate meetings, calendar appointments and guest visits whenever necessary
Manage communications with internal staff (lawyers and non-lawyers)
General filing, printing, collating of documents
Relief Reception duties whenever required
Sort all mail, prioritizing important mail
Take initiative to route or reply to routine correspondences on behalf of Legal Counsel, South Asia Pacific
Assist Legal Counsel with drafting correspondence
Management of Claims (expense, medical)
Prepare and ensure Legal Counsel, South Asia Pacific?s reimbursements are submitted to Finance one week before deadline.
Follow up to ensure all claims are reimbursed.
Prepare, submit and monitor all medical claims
Travel Arrangement
Ensure prior arrangement of flight, hotel and transport bookings.
Submit International Requisition for approval at least one week before travel.
Management of external lawyer relationship
Manage correspondence with external lawyers, including invoices
Track payment of external lawyer?s invoices by finance
Manage internal billing system for all external lawyers for South Asia Pac
Keep other records of all external lawyers as required
Other general liaison with external lawyers as required
Management of legal entities
Keep records of all legal entities under control of Legal Counsel, South Asia Pac
Enter information into, and run reports from, internal database of legal entities
Others
Conduct research (legal or non-legal) as required
Participate in projects as required (could be of administrative or legal nature)
Manage conference attendances & records of General Counsel, South Asia Pacific
Perform any other relevant duties as and when assigned by Supervisor.
Ensure thorough familiarity with relevant company policies and procedures. Appropriately apply policies and procedures in compliance with government laws.
Requirements:
GCE ?A? Level (or equivalent) with Private Secretarial Certificate in institution with typing speed minimum of 60 w.p.m. Qualification can be from Singapore or foreign institution.
Extensive computer experience skills in Microsoft Word, Excel and PowerPoint.
Minimum of 5 years? experience in law firm OR in-house as a legal secretary at a multinational corporation. Experience of more than 7 years in a senior secretarial/office manager role in a non-legal environment will also be considered.
