Hiring legal Librarian

A legal information professional who is experienced in the cataloguing and classification of legal information within a professional services environment. The candidate must be adaptable to work within a diversified environment showing the ability to apply theoretical knowledge to a working environment. Candidate must have the ability to manage the library function, and take responsibility to assist with all aspects of document management including the preparation of report packs for the relevant directors.

·         Maintain and direct an efficient library system.

·         Processing of incoming materials and control circulation of documentation.

·         Updating of loose-leaf publications on a weekly basis.

·         Management of subscriptions and distribution of publications.

·         Organisation, storage and maintenance of library information sources and materials.

·         Management of online and hard copy files.

·         Assist staff with straightforward legal research queries using online resources.

·         Maintain orderly and accurate reference files in hardcopy, and fully replicated electronically.

·         Use electronic library management systems and/or library intranet.

·         Perform periodic stock reviews of publications and textbooks.

·         Duplication of reading material for various purposes on an ad-hoc basis.

·         Catalogue new material by company, then by matter – in both electronic and hardcopy.

·         Respond to library correspondence.

·         Manage register of legal files and books signed in / out from the library.

·         Review of invoices received for new material purchased, thereafter sending to manager for approval.

·         Ordering of new books.

·         Use of a Microsoft Access Database to record status of contracts / agreements.

·         Use of a Microsoft Intranet to record status of files in the library – legal catalogue.

·         Improve upon the existing library structures to become more streamlined and effective.

·         All material by must be stored electronically in a structured manner on the server for future retrieval.

·         Research information from time to time as requested including:

–          Books/Material

–          Case Law

Administer Legal Reporting Functions

·         Compilation of legal department management packs in consultation with members of the legal team.

·         Compilation of quarterly Board of Directors meeting packs.

·         Compilation of weekly property packs.

  1. Bachelors Degree in Library Science (B.Bibl).
  2. Post Graduate Qualification in Library Science (H.Dip.Lib) will be advantageous.
