The Corporate Legal Department is looking for a Legal Content and Knowledge Management Specialist to jointly support Legal Content Management and Knowledge Management initiatives. In conjunction with the Legal Knowledge Manager, the Specialist will assist with front end maintenance and updates to the Legal Department’s Intranet, facilitate expansion of knowledge management concepts and initiatives, and support the development of new knowledge sharing technologies, processes and solutions. In conjunction with the Manager of Legal Records Management and Content Management, the Specialist will provide primary administrative support for the Legal Department’s document management and records management systems including reviewing, processing, and maintaining metadata, as well as conducting end-user training as required. The Specialist should have a great attention to detail, a strong focus on teamwork, and be process-oriented.

Responsibilities

  • Maintain and update front-end support of the Department’s Intranet in SharePoint, including posting content, configuring sites, making required edits, developing site templates, managing lists, and overall ensuring pages function properly to meet Department objectives.
  • Meet with Department members to obtain and document Intranet site requirements, guide group members on managing sites and properly organizing content, and conduct training as required.
  • Work with the technology teams that support SharePoint Intranet implementation. Communicate bug issues, enhancement requests, test proposed resolutions, and document updates.
  • Conduct metrics reports on Intranet, document management, and records management system usage.
  • Provision and orient new users into Intranet, document management and records management systems; removes users who have left the department.
  • Propose recommendations for improving document and records management system capabilities. Assists in the development of content classification taxonomies to facilitate information capture, search, and retrieval.
  • Consult with end users regarding problems in accessing electronic content. Conduct basic troubleshooting and escalate to technical team as necessary.
  • Monitor activity to maintain compliance with Company records and information policy. Analyze, interpret, and disseminate document and records management system performance data to management.
  • Assist in the deployment of a new electronic document management system. Prepare support documentation and training materials for end users. Assist with planning and performing system upgrades and enhancements.

Basic Qualifications

  • 3 – 5 years experience working in a knowledge and/or records and information management department
  • 1 year experience training end users on technology and knowledge management tools
  • 1 year experience updating SharePoint 2010 or 2013 content and web parts
  • Strong computer and database skills required. Previous experience with Microsoft Office and document management technologies (iManage, NetDocuments, or eDOCS)
  • Strong initiative required; ability to work independently with minimal direct supervision.
  • Ability to work productively with company personnel at all levels.
  • Excellent organizational, interpersonal and communication (both oral and written) skills required.

Preferred Qualifications

  • 3 – 5 years experience working in a law department or law firm performing knowledge and/or records and information management duties

The Legal Content and Knowledge Management Specialist will advance processes related to the Department’s new Intranet and knowledge sharing tool, Legal Insider, as well as the Department’s document and records management systems, ensuring the value of the tools is realized and promoting successful use of the systems. Specifically, the position will update content in the Legal Insider and further advance collaboration through enhanced use of the Intranet. The position will also support the Department’s content management tools by providing administrative support, maintaining metadata, troubleshooting support issues, and assisting new users with provisioning and training.
