Dentons – London – Library Assistant

Term: Permanent
Working hours: Part-time (25 hours a week, ideally working hours from 9am to 2pm)
Reports to: Senior Librarian and Head of Library Services
Practice group: Operations
Location: London
Purpose of role
To perform administrative duties, alongside other members of the Library team, to keep the information resources up to date and ready for use.
Responsibilities
Maintaining hard copy stock

  • Placing book orders with suppliers, receiving stock, recording orders accurately on the library management system, and processing invoices
  • Ensuring annual publications are ordered and distributed
  • Retrieving materials from users leaving the firm
  • Receiving and sorting post

Looseleaf updating and subscriptions management

  • Keeping looseleaf works up to date by filing updates promptly and accurately
  • Renewing hardcopy and online looseleaf subscriptions
  • Receiving new releases and claiming missing updates

Assisting in the maintenance of online resources

  • Placing orders for online materials such as licenses and contracts when requested
  • Processing invoices for online subscriptions and items ordered from external sources
  • Creating passwords for new users, trainee intakes, and vacation students
  • Removing access for users leaving the firm

Cataloging and withdrawing library materials

Project work as needed

To perform other duties as and when necessary due to holiday or sickness of other members of the team

 

Required experience, skills and attributes
Personal skills/attributes

  • Experience in book ordering and looseleaf updating is an advantage
  • Experience in using EOS library management system an advantage
  • Able to lift books repeatedly for shelving and packing purposes
  • Sensitivity with handling users personal information
  • Excellent written and verbal communication skills
  • Excellent team player, as well as ability to work independently
  • Methodical approach to work, with strong attention to detail
  • Good organizational skills
  • Professional and enthusiastic attitude
