DESCRIPTION
Reporting to the Director of Professional Development, the Part-Time PD Program Coordinator (PD Coordinator) is responsible for the coordination and administration of select in-person and teleconference events in accordance with CBA policies and procedures. A high level of interaction with the general public, CBA members and staff is required. Must be self-motivated with the ability to multi-task and perform with minimal supervision.
JOB RESPONSIBILITIES:
- Provide liaison and administrative support to volunteer speakers and program chairs;
- Program execution and trouble-shooting; attend onsite at in-person events as required;
- Review and edit program material;
- Manage registration process; respond to registrant inquiries;
- Collect feedback post-program and prepare summary memo for Director;
- Draft, update, and distribute PD promotional material for a variety of publications and websites;
- For in-person events, prepare name badges, delegates lists, event signage and related materials;
- Prepare and maintain accreditation records;
- Draft and monitor program budgets;
- Coordinate event sponsorship where applicable;
- Review invoices and expense claims for accuracy, codes for processing; follow-up on outstanding accounts;
- Liaise with translation and graphic design services, Communications, Finance, Sections and Meetings Departments, travel agents and other service providers;
- Draft correspondence;
- Other related duties as required.
HUMAN RELATIONS SKILLS
- Contacts within the CBA:
- Significant contact with Director of PD, PD Coordinators and Professional Development Lawyers, Sections, Meetings, Finance, Communications and IT staff;
- Regular contact with Executive Director, Senior Directors and Directors.
- External Contacts:
- Contact with Section, Forum and Committee Chairs;
- Contact with Branch staff as appropriate
- Frequent and extensive contact with members of the Association, representatives of provincial and federal governments and the general public, suppliers and other national and international professional organizations;
- Liaison with other service providers.
QUALIFICATIONS
- Educational:
- ollege or university education required
- Skills and Abilities:
- Advanced computer skills (iMIS, MS Word, Excel, PowerPoint, websites and social media, and Acrobat preferred)
- Strong writing skills and attention to detail
- Ability to: communicate effectively; work with minimal supervision; work effectively
- and efficiently under pressure; work collaboratively; organize and set priorities
- Good judgment, maturity, and tact
- Fluency in French preferred
- Available to work weekends, evenings and travel if required.
- Experience
- Experience in meeting planning is essential
- Demonstrated ability to work independently and manage projects
- Demonstrated ability to multi-task and work flexibly within the parameters of the project
- Experience working in not-for-profit sector/professional association is an asset
