Assistant Librarian for Acquisitions UC Irvine School of Law

The University of California, Irvine School of Law seeks a dynamic, self-motivated individual who is committed to process improvement and is flexible and forward-thinking to serve as Acquisitions Librarian in its law library. Under the general supervision of the department head, the Acquisitions Librarian is responsible for overseeing the acquisitions, receipt, invoicing, and claiming of materials, as well as maintaining responsibility for fiscal integrity of acquisition and payment processes. This position has overall responsibility for the Law Library’s acquisitions budget, working closely with the department head on budget forecasting, administration, and analysis.

Responsibilities include the following:
Acquisitions – Ordering

  • Participates in order creation and placement.
  • Monitors monograph and serials receipts and claims.
  • Updates records with information from supplier reports.
  • Ensures quality control for local system records. This includes: ensuring timely public access to information about new titles, including copy cataloging as needed and assisting the Department Head and Electronic Resources and Metadata Law Librarian in electronic-resource management, as needed.
  • Maintains vendor information in the Library Systems Platform.
  • Creates and updates holdings records for print materials in coordination with E-Resources librarian.

Acquisitions – Payment & Receiving

  • Coordinates payment for and receipt of library materials in all forms including check-in, processing, bindery, claiming, repurchasing, title changes, cessations, and cancellations.
  • Manages payment and reconciliation of invoices for the collection.
  • Ensures integrity of library continuations in both print and electronic formats.
  • Researches and resolves order and invoicing issues with vendors.

Policy Setting, Assessment, and Documentation

  • In consultation with Department Head, establishes policies and procedures to oversee maintenance of continuations records for both print and online collections. Helps to develop and coordinate policies and procedures for the rest of the Collections Services department and for the library.
  • Participates in the law library’s continuing implementation of its Library Systems Platform, including better configuration and utilization of the acquisitions and inventory processes.
  • Develops and maintains documentation for assigned functional areas, and participates in the maintenance of department-wide documentation.
  • Assists in analyzing and reporting for collection-maintenance activities. Monitors budget balances, subscriptions, orders, and memberships.

Collection Development

  • Participates in collection development activities as assigned

Other responsibilities

  • Participates actively and collaboratively on library committees, task forces, and project teams as appropriate.
  • Actively seeks opportunities to meet the University of California criteria for advancement and promotion by participating in professional organizations outside the library, providing university and public service, and engaging in research and creative activity.
